Executive Assistant

Gagosian seeks a dynamic Executive Assistant to join our Beverly Hills team and provide crucial support to a Senior Director.

In the capacity of the Executive Assistant, the ideal candidate will play a pivotal role in facilitating communication among the Senior Director, clients, artists, studio representatives, and curators. As such, qualities such as discretion, sophistication, and poise are paramount. This role entails substantial client interaction, making exceptional customer service skills a necessity.

This position necessitates a candidate capable of exercising sound judgment across a range of situations, equipped with superior written and verbal communication, administrative, and organizational abilities. The ideal candidate embodies a proactive, can-do attitude, functioning as a self-starter who thrives under pressure and anticipates the ongoing needs of the executive leader.

Above all, we seek a team player willing to take on diverse responsibilities to support the Senior Director and the team in attaining their objectives.

Primary duties include but are not limited to
– Provide broad administrative support by maintaining the Senior Director's calendar, scheduling meetings and appointments, and maintaining the daily to-do list– Provide sales support, including drafting consignment agreements, processing invoices, and coordinating artwork shipments with various departments
– Manage day-to-day artist and client relationships, acting as the liaison between clients, vendor and artist studios and the gallery. This includes executing and tracking consignment agreements, preparing insurance appraisals, and coordinating post-sales tasks with various departments, such as invoicing and artwork shipments
– Assist the Senior Director in the planning and preparations of exhibitions, dinners, and events
– Coordinate all domestic and international travel, being aware of any challenges, visa requirements and preparing all necessary documentation and travel itineraries
– Read, research, and route correspondence, draft letters and documents, collect and analyze information, and initiate emails and other correspondence
– Organize and maintain the Senior Director's files, contacts and correspondence, forwarding materials to appropriate departments as necessary
– Book transport, organize meetings, and liaise with various departments, clients and artists
– Manage the Senior Director's office, including sorting mail, stocking the pantry and supplies closet
– Manage expenses by creating reports and compiling receipts
– Monitoring and resolving/flagging any conflicts proactively and timely– Manage guest lists for exhibitions/dinners, and support Senior Director during openings
– Ad hoc projects as assigned

Qualifications for this role
– BA degree, Art History or related field
– Minimum 4+ years of experience in a Senior Director or Executive office environment
– Previous experience working with an art gallery, auction house or museum strongly preferred, along with a working knowledge of and passion for modern and contemporary art
– Proven experience maintaining confidentiality and privacy in previous positions
– Impeccable attention to detail and strong written and oral communication skills
– Skill in working collaboratively with diverse stakeholders
– Strong multi-tasking and prioritization skills. Must thrive in a fast-paced, entrepreneurial environment
– Flexibility to work some evenings and weekends when necessary, no task too small mentality

Position Type
Salaried, Non-Exempt. Tuesday through Saturday, with additional hours for openings and events. 100% on-site.

Compensation
$65,000–$75,000+, commensurate with experience.
