Executive Assistant

The Executive Assistant will support a c-suite executive leader.

With proven experience supporting a HNW and/or executive level leader, this position requires a candidate to exercise good judgment in a variety of situations, with superior written and verbal communication, administrative, and organizational skills. The ideal candidate will have a can-do attitude, be a self-starter and be able to work well under pressure and anticipate the ongoing needs of the HNW executive leader.

The ability to handle high volume and complex tasks with speed, efficiency and accountability, and work under pressure at times to handle a wide variety of activities is required. This position involves significant contact with global senior level staff and clients therefore utmost discretion and poise are essential.

Duties include but not limited to
– Provide broad administrative support by maintaining the Executive's calendar and by scheduling meetings and appointments as well as maintaining the daily to-do list
– Liaising with other C-Suite executives and their assistants to ensure Zoom and in-person meetings as well as ad-hoc projects are organized through to completion
– Coordinate all travel: create comprehensive travel itineraries, book reservations, order cars and transportation as requested
– Read, research, and route correspondence, draft letters and documents, collect and analyze information, initiate emails and other correspondence
– Support the Associate Director with tracking offers and organizing research, shipping, invoicing, and framing as requested
– Organize and maintain Executive's files, contacts and correspondence, forwarding materials to appropriate departments as necessary
– Book transport, organize meetings, and liaise with various departments and clients
– Manage the executive's office, including sorting mail, stocking the pantry and supplies closet
– Manage expenses by creating reports and compiling receipts
– Ad hoc projects as assigned

Qualifications and requirements
– BA degree, Art History or related field
– Minimum 3+ years of experience in a similar role at a contemporary art gallery or auction house strongly preferred
– Experience working in a HNW/UHNW office with a sincere service mentality
– A working knowledge of and passion for modern and contemporary art
– Ability to maintain confidentiality of information related to the company and its employees
– A flexible schedule, with availability to work additional hours as needed
– No task too small mentality
– Proficient with PCs, Microsoft Office suite, including Excel and Word

Position Type
Salaried, Non-Exempt. Tuesday through Saturday, with additional hours for openings and events. 100% on-site.

Compensation
$75,000–$90,000 annually, commensurate with experience.
